We are currently seeking a Front Desk Administrator & Executive Assistant to Director of Operations to join our growing team. This mid-level role is ideal for a dependable and personable administrative professional who thrives in a fast-paced, mission-driven environment. You’ll serve as the first point of contact for the organization, while also providing high-level support to our Director of Operations.
Your ability to manage time, communicate clearly, and handle confidential information with care will directly support our mission and contribute to a welcoming, organized, and impactful workplace.
Duties and Responsibilities

Greet and assist visitors, clients, and volunteers in a courteous and professional manner.

Answer and route incoming phone calls and monitor voicemails.

Manage front office email inbox, responding and escalating as appropriate.

Maintain organized records for client information, volunteers, and staff attendance.

Handle incoming and outgoing mail, deliveries, and office correspondence.

Support food bank distribution operations and assist with participant intake data entry.

Schedule and coordinate meetings, manage calendars, and prepare necessary documentation for the Director of Operations.

Track and replenish office supplies, and liaise with vendors regarding office equipment.

Maintain confidentiality with sensitive information, including prayer requests, program records, and internal communications.

Provide support for special events, donor communications, and administrative projects.

Learn and utilize digital tools such as Canva and Adobe to support internal communications and materials.
Qualifications

Education: High School Diploma or GED required; Associate or Bachelor’s degree preferred.

Experience: Minimum 4 years in administrative roles, with at least 2 years in nonprofit or ministry settings.

Technical Proficiency: Solid skills in Microsoft Office Suite (Excel, Outlook, Word); strong data entry abilities.

Communication: Excellent written and verbal communication skills; professional phone and in-person presence.

Soft Skills: Strong interpersonal and customer service skills; ability to manage time and multitask efficiently.

Other Requirements: Comfortable learning new platforms like Canva or Adobe; high level of discretion and integrity.
Salary and Benefits

Pay Rate: $17.00 – $20.00 per hour, commensurate with experience.
